FAQ
Frequently Asked Questions
How long does a typical automation project take?
Most single-workflow automations go live in 2–4 weeks. Multi-system projects involving AI components typically run 6–12 weeks, depending on how many tools we’re connecting and how clean your data is. You’ll get an exact timeline not a range after your discovery call.
What access do you need to our systems?
Only what’s required for the integration in question usually API keys or OAuth connections, nothing more. We follow least-privilege access on every project, document exactly what we can see and touch, and remove access when it’s no longer needed.
Who owns the automations you build?
You do fully. Source code, workflows, and documentation all transfer to you at project completion. Your team can maintain and modify everything independently, or keep us on for ongoing support. Either way, there’s no vendor lock-in.
What happens if something breaks after launch?
Our team diagnoses and resolves it fast. Every project includes a post-launch support window, and we offer ongoing maintenance plans after that so issues get caught before they affect your operations, not after.
How do you handle data security?
Every project starts with a data-flow review. We use encrypted connections end-to-end, apply least-privilege access controls, and document everything for your compliance team. If you operate in a regulated industry, we build within your existing compliance framework rather than asking you to work around ours.
Can you work with our existing tools and vendors?
Yes we’re platform-agnostic by design. We integrate with the stack you already have and coordinate directly with your existing technical teams or vendors rather than replacing them.
Do you offer ongoing maintenance?
Yes. Ongoing plans include monitoring, updates, and optimization so your automations keep pace as your tools, data, and processes change not a one-time build that quietly breaks six months later.
How do you ensure practical results — not just deliverables?
Outcomes. Before we build anything, we define specific success metrics with you time saved, error rate reduced, throughput increased. We check in against those metrics at fixed intervals throughout the engagement, so you always know whether the project is on track, not just whether tasks are getting checked off.
What makes Bigminds different from other digital consulting firms?
Honesty about the odds. 60–80% of AI initiatives fail — most often because of poor or inaccessible data, not bad technology. We tell you upfront where your data actually stands, before you spend a dollar on automation, so you’re not the next statistic.
From there, our teams stay engaged through the full lifecycle strategy, build, training, and change management instead of handing off a deliverable and disappearing.
What is Bigminds origin story?
Bigminds was founded to help businesses get enterprise-grade automation without enterprise-grade overhead high-quality technology solutions at a cost that makes sense for growing teams. As AI and automation have moved from novelty to necessity, our focus has stayed the same: real business outcomes, not automation for its own sake.

What if we're not sure what to automate first?
That’s what discovery is for. We’ll map your workflows and rank opportunities by time saved, error reduction and strategic impact so you start with the automation that pays off fastest, not just the easiest one to build.
